To add an offer approval rule to an allocations list

Where, during the routine administration of a match list, managerial consent is to be incorporated as part of the formal offer process, a series of approval rules can be defined for the relevant allocations list, either to steer all 'full' offers or just those linked to a specified award. So, for instance, approval might be deemed necessary in circumstances where an application has been identified as a 'sensitive let'.


The procedure to add an offer approval rule to an allocations list is as follows:

  1. Navigate to Quick Menu > Allocations > Configuration >  Allocation List. The Allocation List window is displayed.
  2. Select an allocations list from the alphabetically sorted entries or type its name into the Search Allocation Lists field. By default the entries are filtered to show Current allocation lists. An alternative filter can be applied using the Select view drop-down field: Expired, Future or All combinations 1.
  3. Click on Offer Approval 2. The Offer Approval tab is activated.
  4. Click on New Approval Rule. The Offer Approval Rule window is displayed.
  5. Enter a Description for the new offer approval rule into the field provided 3.
  6. Using the Companies drop-down field, multi-select all companies relevant to the operating boundaries of this offer approval rule, or choose the All option, as required 1.
  7. Using the Approval type drop-down field, select a parameter value to define the management consent covered by this rule i.e. All Full Offers or Specified Awards. Where Specified Awards is selected, use the adjacent Awards drop-down field to identify the applicable attribute.
  8. Using the Process order field, enter a numeric value to control the sequence in which the rule is executed. The Up and Down arrows are available to increment or decrement the value, as required.
  9. Using the Approval role drop-down field, select the desired role representing the subset of users from which managerial consent will be sought.
  10. Where access to the offer approval details is restricted to those users matching the assigned role, activate the Private to approval role tick box provided.
  11. Using the Generic case type drop-down field, select the classification of case to be launched on execution of this offer approval rule, as appropriate.
  12. Choose an Effective from date for this offer approval rule i.e. the date on which it came into effect for the allocations list 4.
  13. Choose an Effective to date if the offer approval rule is to be reviewed on a specific date, or to capture a change of circumstances; a blank field means the requirement for managerial consent will be continually valid.
  14. Click on Confirm. The new entry is displayed in the Offer Approval Rules summary table.
  15. Repeat steps 4 through 14 to define further offer approval rules for the allocations list.
  16. Click on Save.


Tip

1 Where only a small number of parameter values are not required, activate the All tick box first and then deselect individual items from the full list, as appropriate; the All tick box will be automatically removed once an item is deselected.

Note

1 The Search Allocation Lists field will match against any element of the allocations list description.

2 Where the Offer Approval Applicable attribute has not been set for the allocations list, the tab will be inactive, denoted by a padlock icon ( ).

3 System validation checks ensure that the description entered for each new offer approval rule is unique for the allocations list within the same effective period.

4 The Effective from date defaults to the current system date and cannot be left blank.
