To add a task to a CRM subject

The procedure to add a task to a CRM subject is as follows:

  1. Navigate to Quick Menu > CRM > Configuration > Subject. The CRM Subject Configuration window is displayed.
  2. Expand a type heading from the alphabetical list and select an associated CRM subject, or enter its name into the Search CRM Subject field. By default the list is filtered to show Current subjects. An alternative filter can be applied using the Select view drop-down field: Expired, Future or All combinations 1.
  3. Click on Tasks 2. The Tasks tab is activated.
  4. Click on New Available Task. The New Available Task window is displayed.
  5. Enter a task description into the dynamic search field provided, or click on Show All Tasks to bypass the filtering option 3. All possible matches are returned in the Available Tasks summary table.
  6. Highlight the row matching the desired task definition to be included within the CRM subject 4.
  7. Choose an Effective from date for this record i.e. the date on which the linked task came into effect for this CRM subject 5.
  8. Choose an Effective to date if the link needs to be reviewed on a specific date or to capture a change of circumstances; a blank field means the link will never expire.
  9. Click on Confirm. The linked task is displayed in the Available Tasks summary table.
  10. Repeats steps 4 through 9 to add further tasks to the CRM subject, ready to be assigned to newly-created cases on an ad hoc basis.
  11. Click on Save 6.


Note

1 The Search CRM Subject field will match against any element of the description.

2 This option is inactive for CRM subjects where the attribute Communication Subject Only or Advice Only has been defined.

3 The field will operate as a dynamic search function and match against any element of the task description based on the successive characters entered.

4 Only task definitions matching the CRM classification will be displayed.

5 The Effective from date defaults to the current system date and cannot be left blank.

6 To amend the details of a linked task, double-click on the desired row in the Available Tasks summary table and repeat steps 7 through 9; to remove the assigned task, change the Effective to date to be in the past.
