To assign a communication definition to an application type

Each application is tracked through a progression status which defines the situation of the application at any point in time. Each assigned status is a significant event and can be linked to a unique communication definition via the associated application type. When an application is progressed to a new status, the linked communication can be automatically generated to one or more applicants.


The procedure to assign a communication definition to an application type is as follows:

  1. Navigate to Quick Menu > Allocations > Configuration >  Application Type. The Application Type window is displayed.
  2. Select an application type from the alphabetical list or enter its name into the Search Application Types field. By default the list is filtered to show Current application types. An alternative filter can be applied using the Select view drop-down field: Expired, Future or All combinations 1.
  3. Click on Status Communications. The Status Communications tab is activated.
  4. Click on New Status Communication. The Communication Search window is displayed.
  5. Enter sufficient communication definition details into the search fields provided and click on Search. The Communication Search Result window is displayed, returning all possible matches 2.
  6. Activate the Select tick box against the row containing the exact record match or use Refine Search to enter different criteria.
  7. Click on Next. The Select Status window is displayed.
  8. Using the Status drop-down field, select an appropriate parameter value to define the assigned status for the application that will automatically generate the communication e.g. Allocated, Appeal, Awaiting Verification, Cancelled, Deferred, Suspended, etc.
  9. Choose an Effective From Date for this linked status communication i.e. the date on which the link came into effect 3.
  10. Choose an Effective To Date if the link to the communication is to be reviewed on a specific date or to capture a change of circumstances; a blank field means the link will be continually valid.
  11. Click on Confirm. The new record is displayed in the Status Communication summary table.
  12. Click on Save.


Note

1 The Search Application Types field will match against any element of the application type description.

2 All components of a communication - the format, the style, the recipient-specific fields (merge tags), the output channels (Letter, Email, Text Message), the designated queue - are controlled within the communication definition.

3 The Effective From Date defaults to the current system date and cannot be left blank.
