The procedure to define a rent tenure type parameter value is as follows:

  1. Navigate to Quick Menu > Rents > Configuration > Rent Configuration Settings. The Rent Configuration Settings window is displayed.
  2. Click on Tenure Types. The Tenure Types tab is activated.
  3. Click on New Tenure. All fields are activated ready for data entry.
  4. Using the Tenure Type drop-down field, select an appropriate parameter value for the tenure e.g. Assured, Secure, Licence, Sundry, etc.
  5. Using the Agreement type drop-down field, select an appropriate parameter value for the tenure type e.g. Tenancy, Starter Tenancy, etc.
  6. Where a Mid period start is permitted for the tenure type, activate the tick box provided.
  7. Where a Mid period termination is permitted for the tenure type, activate the tick box provided.
  8. Enter the Maximum number of assignments permitted for this tenure type into the field provided. The Up and Down arrows are available to increment or decrement the value, as required.
  9. Enter the Maximum number of successions permitted for this tenure type into the field provided. The Up and Down arrows are available to increment or decrement the value, as required.
  10. Enter the Maximum number of mutual exchanges permitted for this tenure type into the field provided. The Up and Down arrows are available to increment or decrement the value, as required.
  11. Using the Notice type drop-down field, select an appropriate parameter value for the tenure type i.e. the required notice to be given for any asset linked to this tenure type.
  12. Enter the number of Initial visit days into the field provided i.e. the elapsed period permitted between the start date of an agreement and the first scheduled visit 1. The Up and Down arrows are available to increment or decrement the value, as required.
  13. Choose an Effective from date for this tenure type i.e. the date on which it came into effect 2.
  14. Choose an Effective to date if the tenure type status is to be reviewed on a specific date or to capture a change of circumstances; a blank field means the tenure type will never expire.
  15. Click on Save 3.

Note

1 The new tenancy (first) visit provides the tenant with an opportunity to ask questions and raise any issues, thus promoting good customer service and contributing towards reducing tenancy turnover rates.

2 The Effective from date defaults to the current system date and cannot be left blank.

3 To amend the details of an existing parameter, select a tenure type from the alphabetical list or enter its name into the Search Tenures field. By default the list is filtered to show Current tenure types. An alternative filter can be applied using the Select view drop-down field: Expired, Future or All combinations. Only a limited number of fields can be updated once a record has been created.
