To issue equipment servicing orders to a contractor

The procedure to issue equipment servicing orders to a contractor is as follows:

  1. Navigate to Quick Menu > Planned & Servicing Lite > Management > Service Program Management. The Service Program Management window is displayed.
  2. Expand a status heading and select an associated equipment servicing programme from the alphabetical list, or type its name into the Search Programs field. By default the list is filtered to show All servicing programmes. An alternative filter can be applied using the Select view drop-down field: Authorised, Awaiting Authorisation, Cancelled, Complete, Entered, On Hold, Work In Progress, etc. 1.
  3. Click on Works. The Works tab is activated, revealing a list of all work instructions generated for one or more assets linked to the equipment servicing programme, as displayed in the Works summary table i.e. those with an assigned Order reference value.
  4. Activate the Select tick box against one or more asset works orders to be issued to a contractor.
  5. Click on Issue Orders 2. The Issue Works Orders window is displayed, confirming the total number of works orders and associated assets within the selected subset.
  6. Using the Contractor drop-down field, select the preferred service provider to be awarded the equipment servicing works orders; the associated Contract must also be specified using the adjacent field 3.
  7. To refine the list of asset works orders to be issued to the chosen contractor, deactivate the Select tick box against one or more equipment servicing instructions in the Orders summary table. The Works orders selected counter is automatically updated to reflect the applied changes.
  8. Click on Issue. Once all works orders within the chosen subset have been assigned to the nominated contractor, a notification message is displayed.
  9. Click on OK. The status of each assigned equipment servicing order is set to Issued.


Note

1 The Search Programs field will match against any element of the equipment servicing programme name.

2 This option is only activated in the instance where one or more unassigned asset works orders have been selected using the adjacent tick boxes provided.

3 Upon first access, these fields will be automatically populated with the default contractor and associated contract configured for the equipment servicing programme.
