To transfer a rent account balance

The procedure to transfer a rent account balance is as follows:

  1. Using the global search facility, type in the first few characters of either the responsible contact for the agreement or the asset address 1.
  2. Double-click on the row containing the exact record match. Where the expected record is not listed, a more advanced search can be conducted using the spy-glass icon ().
  3. Click on Agreements (contact summary 360 view) or History (for an asset) 2. The Agreements tile (or History tab) is activated, revealing a list of all agreements associated with the contact (or asset) in the Agreements (or Rent) summary table.
  4. Double-click on the specific agreement from which a rent account balance will be transferred. The Agreement Details window is displayed.
  5. Click on Accounts. The Accounts tab is activated.
  6. Double-click on the specific account from which a balance will be transferred. The Account Details window is displayed.
  7. Click on Summary. The Summary tab is activated.
  8. Click on Transfer Balance 3. The Transfer Balance window is displayed, revealing the current balance to be transferred in the Amount field 4.
  9. Select the Transfer to Account Reference using the spy-glass icon () or type in the value directly i.e. the account onto which the balance will be transferred. The Select Account window is displayed.
  10. Enter sufficient account-related details into the search fields provided and click on Search. All possible matches are returned in the summary table.
  11. Select the row containing the exact record match or use Refine Search to enter different criteria; click on Next. The Transfer to Account Reference field is populated with the matching result.
  12. Using the Element drop-down field, select the element charge under which the transferring balance will appear.
  13. Enter a Reference for the balance transfer into the field provided i.e. an internal reference to augment the transaction.
  14. Use the Description field to add any contextual data that is relevant to the balance transfer.
  15. Click on Confirm. The end user is asked to affirm the operation and the reducing balance transaction entry, categorised as Adjustment, appears in the Account Details summary table (Transactions tab).


Note

1 The search facility will automatically return all possible matches for a contact's first name and last name once the Number of characters before an automatic search commences system preference is reached; it will likewise return all possible matches for any corresponding address field.

2 The availability and customisation of all Contact Summary 360 View tiles is controlled separately for each end user via their unique system profile.

3 Only credit balances can be transferred to an alternative account.

4 It is not permitted to transfer only a portion of the current balance; hence the value is displayed for reference purposes only.
