The procedure to view the calculated service charge cost element results is as follows:

  1. Navigate to Quick Menu > Service Charges > Management > Calculations. The Service Charge Calculation window is displayed.
  2. Expand a calculation type subheading from within the nested calendar period and select an associated calculation scenario, or enter its name into the Search Calculations field. By default the list is filtered to show All calculation scenarios. An alternative filter can be applied using the Select view drop-down field: In Progress, Under Consultation, Applied, Invoiced, Cancelled or Adjustment Applied to Rent Accounts 1.
  3. Click on Cost Element Results. The Cost Element Results tab is activated, revealing the proposed service charge values in the Cost Element Results summary table, specific to the calculation type in operation 1. Certain fields are worthy of special note and are captured in the table below 2.
  4. Optionally, where a Model calculation method is in operation, select an alternative model from the corresponding field, in which uplift parameters have been calculated for the elemental components 3.
  5. To analyse or amend the derived figures for an individual cost element, double-click on the row matching the corresponding record. The Calculation Cost Element Results window is displayed, revealing a breakdown of the current and proposed charge values.
  6. Ensure that the Proposed basic charge and Proposed B/F balancing charge reflect the required figures; the Up and Down arrows are available to increment or decrement each value, as appropriate 4. To qualify the legitimacy of any applied changes, an Override reason must also be selected using the adjacent drop-down field 5.
  7. Use the Commentary field to add explanatory notes to the calculated service charge entry; the expansion arrow () can be employed to increase the size of the text entry field.
  8. Click on Save (or Close).


Tip

1 By default, all results are displayed alphabetically, first by 'cost centre' and then by 'cost element'; to aid in identification and analysis, rows can be reordered by clicking on any of the available headings.

1 The Search Calculations field will match against any element of the calculation scenario description.

2 A subset of fields are visible by default; additional fields pertinent to the calculation type can be revealed or hidden via the Menu option.

3 For Manual and Import calculation methods, the proposed service charge values are displayed instantly, using the manually input or imported figures.

4 Whilst the derivation of proposed service charges through a defined calculation provides a good foundation for the final values, there will invariably be a need for fine tuning; hence it is possible to override individual figures at cost element level.

5 These custom values can be populated by the end user via the general lookup parameter entitled Service Charge Calculation Results Override Reasons.
