The procedure to add a new period to a service charge calendar cycle is as follows:
- Navigate to Quick Menu > Service Charges > Configuration > Calendars. The Service Charge Calendar Details window is displayed.
- Expand a company heading and select an associated service charge calendar cycle from the alphabetical list, or type its name into the Search Calendars field. By default the list is filtered to show Current calendar cycles. An alternative filter can be applied using the Select view drop-down field: Expired, Future or All combinations

- Click on New Period. The Service Charge Calendar Period window is displayed.
- Enter the name of the calendar cycle Period into the field provided e.g. FY 2015/2016, Q1 (2015/2016), Period 1, etc.

- Enter the Start date and End date boundaries for the period using the corresponding calendar icon (
) or type in the values directly

- Optionally, to map a nominal accounting period to the service charge period, enter the name or number into the Nominal period field; click on Add/Update Nominal Period
4. The mapped nominal period is displayed in the summary table.
- Repeat step 6 to map further nominal periods to the same service charge period

- Click on Confirm
6. The new period time span is displayed in the Periods summary table.
- Click on Save.
Note
1 The Search Calendars field will match against any element of the calendar cycle description.
2 A period is simply the defined time span in which financial events take place - the frequency at which service charges are levied to tenants - and typically can represent a whole year, a quarter, individual months or even weeks.
3 The permitted date entry format is DD/MM/YY or DD/MM/YYYY.
4 This is the accounting period used to summarise the cash coming in and out of the housing organisation during that service charge calendar period.
5 To remove an existing nominal period, select the corresponding row in the Nominal Periods summary table and click on Remove Nominal Period.
6 System validation rules ensure that discrete periods within the same service charge calendar cycle cannot coexist with overlapping dates.
