In line with the housing organisation's published customer charter, the timely progression of each ASB case is controlled through a formal review process. The period of review is set at priority level and defined by service level agreement target completion milestones; hence the review timescales for individual ASB cases are independently set, based on the assigned categories and inherent priority types.
The procedure to add a review target to an ASB priority type is as follows:
- Navigate to Quick Menu > ASB > Configuration > Priority Type. The ASB Priority Type Configuration window is displayed.
- Select a priority type parameter from the alphabetical list or enter its name into the Search Priority Type field. By default the list is filtered to show Current priority types. An alternative filter can be applied using the Select view drop-down field: Expired, Future or All combinations
1.
- Click on Review. The Review tab is activated.
- Click on New Review. The ASB Priority Review window is displayed.
- Using the Companies drop-down field, multi-select all companies for which this priority type review is relevant, or choose the All option, as required
1.
- Using the Calendar drop-down field, select the calendar that reflects the required frequency for the priority type review cycle.
- Using the Review frequency unit drop-down field, select an appropriate frequency parameter for the target review period e.g. Minutes, Days, Weeks, Months, etc.
- Enter the Review frequency period value into the field provided i.e. the Review frequency unit multiplier
2.
- Using the SLA definition drop-down field, select the target completion schedule appropriate to this ASB review cycle.
- Where manual override of the calculated target completion date for each review is permitted, activate the Revision allowed tick box provided.
- Choose an Effective from date for this priority review i.e. the date on which it came into effect
3.
- Choose an Effective to date if the priority review is to be re-evaluated on a specific date or to capture a change of circumstances; a blank field means the review will never expire.
- Click on Confirm. The new review cycle for the ASB priority type is displayed in the Priority Type Reviews summary table.
- Repeat steps 4 through 13 to add a further review cycle to the same ASB priority type
4.
- Click on Save.
Tip
1 Where only a small number of parameter values are not required, activate the All tick box first and then deselect individual items from the full list, as required; the All tick box will be automatically removed once an item is deselected.
Note
1 The Search Priority Type field will match against any element of the priority type description.
2 By way of example, if a five day review frequency was required, a Review frequency period of '5' would be inserted, coinciding with a Review frequency unit of 'Days'.
3 The Effective from date defaults to the current system date and cannot be left blank.
4 Only one priority type review can be effective for a single company at any one time; where overlapping Effective from and Effective to dates are detected, the user will be asked to amend the values accordingly.
