To add survey data to an asset record

The procedure to add survey data to an asset record is as follows:

  1. Using the global search facility, type in the first few characters of the asset address 1.
  2. With the results displayed in the Asset tab, double-click on the row containing the exact record match. Where the expected record is not listed, a more advanced search can be conducted using the spy-glass icon ().
  3. Click on Asset Details. The Asset Details window is displayed for the current asset.
  4. Using the Survey status drop-down field, select a prescribed parameter value to denote if a survey has been undertaken on the property i.e. Copied, Surveyed, Un-surveyed 2.
  5. Where Copied or Surveyed is selected as the survey status, activate the Extrapolate tick box provided, as required, to indicate that the survey data is of good quality and fairly typical for properties of that type; hence it can be used to determine the likely state of similar assets.
  6. Select the Surveyor who conducted the stock condition survey using the spy-glass icon (). The Search Contact window is displayed.
  7. Enter sufficient contact or contact group details into the search fields provided and click on Search. The Select Contact window is displayed, returning all possible matches.
  8. Double-click on the row containing the exact record match or use Refine Search to enter alternative criteria. The name of the Surveyor is displayed in the corresponding field 3.
  9. Enter the Last survey date and Next survey date using the adjacent calendar icons (), or type in the values directly (format DD/MM/YY or DD/MM/YYYY).
  10. Click on Save.


Note

1 The search facility will return all possible matches for any corresponding address field once the Number of characters before an automatic search commences system preference is reached.

2 Choosing Copied indicates that survey data from a similar property has been used to determine the likely state.

3 Only one contact or contact group can be linked as the surveyor at any one time.
