To assign planned work warranty details to an asset record

Where planned works have been identified and recorded against an asset record, for example a bathroom refit, this may come with an agreed warranty, and provided an existing warranty map covers the overarching component, the terms of the manufacturer's guarantee or servicing arrangements can be documented, ready for tracking and reporting purposes.


The procedure to assign planned work warranty details to an asset record is as follows:

  1. Using the global search facility, type in the first few characters of the asset address 1.
  2. With the results displayed in the Asset tab, double-click on the row containing the exact record match. Where the expected record is not listed, a more advanced search can be conducted using the spy-glass icon ().
  3. Click on Asset Details. The Asset Details window is displayed for the current asset.
  4. Click on Planned and Completed Work 1. The Planned and Completed Work tab is activated, revealing all recorded Planned Work entries in the corresponding data grid.
  5. Double-click on the row matching the specific planned work entry against which the terms of warranty are to be recorded. The Planned and Completed Work Details window is displayed, revealing previously captured details pertinent to the planned work record.
  6. Click on New Warranty. The Warranty Details window is displayed.
  7. Using the Warranty type drop-down field, select the desired parameter classification relevant to the warranty being offered e.g. Product Guarantee, Extended Warranty, Service Contract, etc. 2.
  8. Use the Description / Terms and Conditions fields to record contextual information pertinent to the warranty.
  9. Using the Contractor drop-down field, select the name of the contractor providing the warranty cover.
  10. Choose an Effective from date for this warranty cover i.e. the date on which it came into effect 3.
  11. Choose an Effective to date if the warranty cover entry is to be time bound; a blank field means the record will be continually valid.
  12. Click on Save.


Tip

1 Use the Left () and Right () scrolling arrows to reveal additional tabs that might be hidden from view.

Note

1 The search facility will return all possible matches for any corresponding address field once the Number of characters before an automatic search commences system preference is reached.

2 Only those warranty types applicable to the overarching stock condition component will be available for selection.

3 The Effective from date defaults to the current system date and cannot be left blank.
