The purpose of a Service Charge Template is to create the resulting scheme elements - the Cost Centre, Functional Unit and Group (comprising the subset of charges for targeted assets) - in the most efficient way. For all identified Service Charge Templates, there are two methods of record generation: (1) Individually by template, and (2) En masse via bulk upload. Using the Build New Scheme action button, an end user can trigger the generation of records manually for a specific service charge template, supporting those scenarios whereby a housing organisation wishes to augment their existing cost centre framework.
The procedure to generate the scheme components for a service charge template is as follows:
- Navigate to Quick Menu > Service Charges > Configuration > Service Charge Templates. The Service Charge Templates window is displayed.
- Select a service charge template from the alphabetical list or type its name into the Search Templates field. By default the list is filtered to show Current templates. An alternative filter can be applied using the Select view drop-down field: Expired, Future or All
1.
- Click on Build New Scheme. The Create Service Charge From Template window is displayed, revealing the Company and Template Name of the selected template.
- Optionally, amend the Company and Template Name options, as required, to generate an alternative scheme framework without shifting focus.
- Select the desired root node within an Asset hierarchy using the corresponding spy-glass (
) icon i.e. the cascading point within the hierarchy for all resulting service charges. The Asset Hierarchy Node Select window is displayed, revealing the hierarchical structure for all assets linked to the operating company; (a) Activate the tick box against the relevant asset node - click on the nested expansion level pointer icons (
) to reveal the hierarchy detail
2; (b) Click on Add to transfer the chosen node to the right ('required') pane
3; (c) Click on Select - The address of the selected node is displayed in the corresponding field
4.
- Use the Description field to capture the exact name for all scheme components resulting from this template, namely the Cost Centre, Functional Unit and Group.
- Click on Save. The completion of the routine is signalled by a confirmation window; to analyse the outcome, click on View Cost Centre to launch the Service Charge Cost Centre window on-the-fly.
Note
1 The Search Templates field will match against any element of the service charge template description.
2 The returned results can be refined further by entering a component of the asset node address into the dynamic search field provided.
3 In the same way, use the Remove option in conjunction with the associated tick box field to transfer an asset node out of the right ('required') pane.
4 The Select option is only activated in the instance where a single asset node has been transferred to the right ('required') pane.
