The procedure to submit a new PCOL application entry is as follows:
- Using the global search facility, type in the first few characters of either the responsible contact for the agreement or the asset address

- Double-click on the row containing the exact record match. Where the expected record is not listed, a more advanced search can be conducted using the spy-glass icon (
).
- Click on Agreements (contact summary 360 view) or History (for an asset)
2. The Agreements tile (or History tab) is activated, revealing a list of all agreements associated with the contact (or asset) in the Agreements (or Rent) summary table.
- Double-click on the specific agreement against which a court application has been served on an account. The Agreement Details window is displayed.
- Click on Accounts. The Accounts tab is activated.
- Double-click on the specific account on which a court application has been served. The Account Details window is displayed.
- Click on Court. The Court tab is activated, revealing a list of all court applications served on the account in the Court summary table.
- Highlight the specific row matching the court application to be submitted via the PCOL service.
- Click on New PCOL Claim. The PCOL Claim window is displayed.
- Use the Defendant circumstances field to add contextual information in support of the PCOL application.
- Use the Recovery steps field to detail all historical actions taken to recover any outstanding arrears payments.
- Use the Possession reason field to summarise the legitimate grounds for seeking possession of the property.
- Use the Claimant circumstances field to add contextual information in support of the PCOL application from the housing organisation's perspective.
- Using the Firm name drop-down field, select the organisation providing legal representation for the PCOL application.
- Using the Position drop-down field, select the role of the legal representative within the organisation.
- Enter the electronic signatory details for the PCOL application using the combined Signee status, Signed name and Signed date fields provided.
- Click on Confirm. The new PCOL application is displayed in the corresponding summary table.
Note
1 The search facility will automatically return all possible matches for a contact's first name and last name once the Number of characters before an automatic search commences system preference is reached; it will likewise return all possible matches for any corresponding address field.
2 The availability and customisation of all Contact Summary 360 View tiles is controlled separately for each end user via their unique system profile.
