The procedure to add a stock condition replacement item to an asset is as follows:
- Using the global search facility, type in the first few characters of the asset address

- With the results displayed in the Asset tab, double-click on the row containing the exact record match. Where the expected record is not listed, a more advanced search can be conducted using the spy-glass icon (
).
- Click on Asset Details. The Asset Details window is displayed for the current asset.
- Click on Stock Condition
1. The Stock Condition tab is activated.
- Click on New Survey Replacement. The Replacement Details window is displayed.
- Using the Element, Component and Replacement drop-down fields, select the inter-related parameter values to pinpoint the fixture or fitting being upgraded or renewed.
- Enter the Replacement year (format YYYY) applicable to the fixture or fitting.
- Enter the Quantity per item value to capture the actual number being replaced at the property - for reference purposes, the defined Unit of measurement applicable to the selected replacement item is displayed alongside this field
2. The Cost figure is automatically updated using the Quantity multiplier.
- Where the replacement item should not feed into copied surveys for similar properties of this type, activate the Exclude from extrapolation tick box provided.
- Where the replacement item is being added retrospectively as a result of Completed work, activate the corresponding tick box provided; the adjacent Data source field is automatically updated to Completed Works

- Select the Surveyor who conducted the stock condition survey linked to the replacement item: (a) Click on the spy-glass icon (
) - The Search Contact window is displayed; (b) Enter sufficient contact or contact group details into the search fields provided and click on Search - The Select Contact window is displayed, returning all possible matches; (c) Double-click on the row containing the exact record match or use Refine Search to enter alternative criteria - The name of the Surveyor is displayed in the corresponding field

- Choose an Effective from date for this new stock condition replacement item i.e. the date on which the fixture or fitting came into effect

- Choose an Effective to date if the stock condition replacement item is to be time bound; a blank field means it will be continually valid.
- Use the Notes field to add contextual information relevant to the new stock condition replacement item.
- Click on Save. The new entry is displayed in the Stock Condition Data grid, within the nested elemental structure.

1 Use the Left (
) and Right (
) scrolling arrows to reveal additional tabs that might be hidden from view.
Note
1 The search facility will return all possible matches for any corresponding address field once the Number of characters before an automatic search commences system preference is reached.
2 The proposed number must fall within the permitted Min and Max threshold quantities appropriate for this replacement item.
3 By default, the Data source field displays the value Cx.
4 Only one contact or contact group can be linked as the surveyor at any one time.
5 The Effective from date defaults to the current system date and cannot be left blank.
