To adjust the criterion of a match list

Any category of resource - an asset, a non-organisational asset or a service - can be linked to a default waiting list with inherent match criteria. When the Match List function is applied to the resource, all applicants identified as a potential match are displayed. On occasions, it might be necessary to identify applicants through an alternative waiting list; hence functionality is provided to revise the match list, choosing a different waiting list and defining criteria to highlight specific needs recorded against each application. The filtered results can then be reordered, as required, thus giving focus to subsequent activities within the matching process.


The procedure to adjust the criterion of a match list is as follows:

  1. Prerequisite procedural steps are covered separately in the topic To generate a match list for a resource. Refer to these before proceeding to step 2.
  2. Click on Revise Match List. The Revise Match List (Select Waiting List) window is displayed, revealing the default waiting list for the resource.
  3. Using the Waiting List drop-down field, select an alternative waiting list, as required, to link the desired applicant membership list to the resource; otherwise the existing waiting list will be preserved.
  4. Click on Next. The Revise Match List (Match Criteria) window is displayed.
  5. Using the Match Criteria drop-down field, select the first need - not already included in the Match Criteria grid - against which the match list will be filtered e.g. Number of Bedrooms, Floor Level, Medical Condition, etc.
  6. Using the Value drop-down field, confirm the need values to control the desired filter, in accordance with the underlying data type e.g. enter a numeric value, multi-select a parameter subset, etc.
  7. Click on Include New Match Criteria. The entry is displayed in the Match Criteria summary table 1.
  8. Repeat steps 5 through 7 to add a further condition to the filter.
  9. Additionally, use the Optional Criteria fields to provide further refinement opportunities for the list of applicants to be identified as potential matches. These are captured in the table below.
  10. Click on Create Match List. The resulting subset of applicants is displayed in the Match List summary table 1.
  11. Click on Save.


Tip

1 By default, all list members are displayed in order of priority (position); to aid in identification and analysis, rows can be reordered by clicking on any of the available headings.

1 To remove an existing filter condition, select the corresponding row in the Match Criteria summary table and click on Remove Match Criteria.

Description

Include Bands

A banding system is used as a method of grouping together applications on an allocations list, based on the awarded housing need priorities. Typically, bands are designed as broad priority categories and awarded to applications based on a more detailed breakdown of need criteria, although their precise deployment is at the discretion of the end user. Selecting the desired bands will filter the match list accordingly.

Exclude Bands

The target applicants returned through a match list can be restricted to those applications that have attracted sufficient points to be included in a subset of available bands.

Include Awards

Those awards that have been ascribed to an application (e.g. local connection, armed services, homeless, conditional approval) can be used to raise their profile within the matching process.

Exclude Awards

The utilisation of alternative award categories can also highlight those applications that do not meet certain 'highly desirable' criteria when being considered for specific resources e.g. no local connection.

Applicant Age Range (From)

A minimum applicant age can be set as the opening threshold for a returned match list.

Applicant Age Range (To)

A maximum applicant age can be set as the upper threshold for a returned match list.

Apply Age Range To

Where minimum and / or maximum age thresholds have been specified, the end user can then identify the applicant type for whom the inclusion filter should apply i.e. All Applicants, Main Applicant or Responsible Applicants.

Include Applications with Full Offer

Where a full offer has already been granted to an applicant, the end user can choose to hide these from the match list and therefore give greater focus to those potential matches that are yet to be processed.
