Match list management overview

A match list is the method by which an available resource - an organisational asset, a non-organisational asset or service - is paired with an application, based on corresponding resource attributes and applicant needs. Any category of resource can be linked to a default waiting list with inherent match criteria. When the 'Match List' function is applied to the resource, all applicants identified as a potential match are displayed. The first step is to define match criteria for an allocations list i.e. the allocation need type used to match the applicant. Once an asset or other managed resource is linked to an allocations list, the inherent match criteria - number of bedrooms, geographical area, floor level, etc. - will be applied at the user's discretion to build the list of applicants that represent suitable matches. When first generated, each application is allocated a sequential number, denoting the applicant's current position on the match list, based on their overall priority score and rank order specified for the allocations list. On occasions, it might be necessary to identify applicants through an alternative waiting list; hence functionality is provided to revise the match list, choosing a different waiting list and defining criteria to highlight specific needs recorded against each application. The filtered match list results can then be ordered by any combination of priority (points, awards, bands) or need. In respect of organisational and non-organisational assets, the purpose of a match list is to identify suitable applicants that will be invited to view void properties, with formal offers being made subject to the outcome of the viewing appointment. As each offer will be linked to a binding agreement, it is possible to adjust the agreement type directly through the match list, based on the circumstances of the individual applicant. For example, setting 'Starter Tenancy' as the default agreement type for all properties may be standard policy for a housing organisation; this can then be changed on a case by case basis, depending on the applicant in receipt of the offer. For services, the purpose of a match list is to identify suitable applicants that will be granted the value-added benefit or utility, or in the case of professional training, offered a place on the course. The status of each individual application can be updated and saved over any period of time, and the match list revisited until an agreement is finalised.
