To apply a user defined filter to a waiting list

A subset of applicants included on a waiting list can be defined by the end user, providing visibility of specific needs recorded against each application. The filtered results can then be reordered, as required, thus giving focus to subsequent allocation activities.


The procedure to apply a user defined filter to a waiting list is as follows:

  1. Navigate to Quick Menu > Allocations > Allocation Management > Waiting Lists. The Waiting Lists window is displayed.
  2. Expand an application type from the alphabetically sorted entries and select an associated waiting list, or type the name into the Search Waiting List field. By default the entries are filtered to show Current waiting lists. An alternative filter can be applied using the Select view drop-down field: Expired, Future or All combinations 1.
  3. The List Members summary table reveals all applicants included on the waiting list.
  4. Click on Filter List. The Filter List window is displayed.
  5. Using the Match Criteria drop-down field, select the first need - not already included in the Match Criteria grid - against which the waiting list will be filtered e.g. Number of Bedrooms, Floor Level, Medical Condition, etc.
  6. Enter a desired Value for the selected match criteria, in the format governed by the data type and associated criteria i.e. Date Only, Date Time, Decimal, Integer, Lookup (Address, Contact, Contact Group, Table, Standard or System), Text, Time Only, True or False, User Defined Field Lookup, or Functional Unit. For lookup data types, multi-select all corresponding need values to control the desired filter, or choose the All option, as required 1.
  7. Click on Include New Match Criteria. The entry is displayed in the Match Criteria summary table 2.
  8. Repeat steps 5 through 7 to add a further condition to the filter.
  9. Additionally, use the Optional Criteria fields to provide further refinement opportunities for the subset of applicants to be managed through the waiting list. These are captured in the table below.
  10. Click on Confirm. The resulting subset of applicants is displayed in the List Members summary table 2.
  11. Click on Close. The applied filter is cleared in preparation for subsequent waiting list analysis.


Tip

1 Where only a small number of parameter values are not required, activate the All tick box first and then de-select individual items from the full list, as necessary; the All tick box will be automatically removed once an item is de-selected.

2 By default, all list members are displayed in order of priority (position); to aid in identification and analysis, rows can be reordered by clicking on any of the available headings.

1 The Search Waiting List field will match against any element of the waiting list description.

2 To remove an existing filter condition, select the corresponding row in the Match Criteria summary table and click on Remove Filter.

Include Bands

A banding system is used as a method of grouping together applications on an allocations list, based on the awarded housing need priorities. Typically, bands are designed as broad priority categories and awarded to applications based on a more detailed breakdown of need criteria, although their precise deployment is at the discretion of the end user. Selecting the desired bands will filter the match list accordingly.

Exclude Bands

The target applicants returned through a match list can be restricted to those applications that have attracted sufficient points to be included in a subset of available bands.

Include Awards

Those awards that have been ascribed to an application (e.g. local connection, armed services, homeless, conditional approval) can be used to raise their profile within the matching process.

Exclude Awards

The utilisation of alternative award categories can also highlight those applications that do not meet certain 'highly desirable' criteria when being considered for specific resources e.g. no local connection.

Include Match Priorities

This option determines whether time-incremental priority weightings should influence the filtered list.

Applicant Age Range (From)

A minimum applicant age can be set as the opening threshold for a returned match list.

Applicant Age Range (To)

A maximum applicant age can be set as the upper threshold for a returned match list.

Apply Age Range To

Where minimum and / or maximum age thresholds have been specified, the end user can then identify the applicant type for whom the inclusion filter should apply i.e. All Applicants, Main Applicant or Responsible Applicants.

Include Applications with Full Offer

Where a full offer has already been granted to an applicant, the end user can choose to hide these from the match list and therefore give greater focus to those potential matches that are yet to be processed.

Exclude Awaiting Verification Status

Where an application contains one or more outstanding verification items, the end user can elect to filter the waiting list accordingly.
