To clone a services resource

As the variations in required service-based resources may be only minimal, it is possible to clone existing records - retaining all the attributes, classifications (resource type and subtype), user-defined fields, etc, - and apply the required changes to the new copy, thus saving time and effort.


The procedure to clone a services resource is as follows:

  1. Using the Advanced search spy-glass (), select Resource as the Search for and Search by category, and enter the Resource description as the search criteria 1.
  2. With the Results tab in current focus, double-click on the row containing the exact record match, or return to the Criteria tab and refine the search filters. The Resource Details window is displayed.
  3. Click on Clone Resource. The Resource Details window is populated with all the common attributes of the source services record.
  4. Enter a Description for the cloned services resource into the field provided. By default, the source services resource description is displayed with an additional suffix of '1' 1 2.
  5. Using the Companies drop-down field, ensure that the selected companies are still valid for this cloned services resource and apply any required changes.
  6. Using the Resource Subtype drop-down field, ensure that the selected parameter value is still valid for this services resource and apply any required change.
  7. Select the Address for the services resource, as required, using the spy-glass icon (), or proceed to step 10. The Search Address window is displayed.
  8. Enter sufficient address details into the search fields provided and click on Search. The Search Address window is displayed, returning all possible matches.
  9. Double-click on the row containing the exact record match or use Refine Search to enter alternative criteria.
  10. Adjust the values entered in the user-defined fields, as required, to reflect the cloned services resource; these determine the attributes of the individual services resource, with the specific entries controlled by the associated data types i.e. Date Only, Date Time, Decimal, Integer, Lookup, Text, Time Only, True or False.
  11. Amend the Effective from date for this services resource, as required i.e. the date on which the service came into effect 3.
  12. Amend the Effective to date for this services resource, as required i.e. to specify the valid duration; a blank field means the service will never expire.
  13. Click on Save.


Tip

1 To aid in identification, it is good practice to employ a consistent naming convention for the services resource description.

Note

1 Additional search criteria may need to be employed (e.g. address, post code, resource type) to ensure that the correct services resource record is returned.

2 System validation rules ensure that the description entered for each new services resource is unique for the effective period.

3 The Effective from date defaults to the date stamp of the source services resource record.
