The procedure to create a new services resource is as follows:
- Using the Advanced search spy-glass (
), select Resource as the Search for and Search by category, and enter the new Resource description as the search criteria
1.
- With the Results tab in current focus, for a completely new services resource record the search results will return 'No records to display'.
- Click on New Resource. The Resource Details window is displayed and all fields are activated ready for data entry.
- Enter a Description for the new services resource into the field provided
1
2.
- Using the Companies drop-down field, multi-select all companies for which this services resource is relevant, or choose the All option, as required
2.
- Using the Resource subtype drop-down field, select an appropriate parameter value for the services resource e.g. Warden Support, Personal Care, Professional Training, etc. The linked Resource type fields are populated with the corresponding values.
- Select the Address for the services resource, as required, using the spy-glass icon (
), or proceed to step 10. The Search Address window is displayed.
- Enter sufficient address details into the search fields provided and click on Search. The Search Address window is displayed, returning all possible matches.
- Double-click on the row containing the exact record match or use Refine Search to enter alternative criteria.
- Enter permitted values for all user-defined fields linked to the selected resource subtype; these determine the attributes of the individual services resource, with the specific entries controlled by the associated data types i.e. Date Only, Date Time, Decimal, Integer, Lookup, Text, Time Only, True or False.
- Choose an Effective from date for this services resource i.e. the date on which it came into effect
3.
- Choose an Effective to date if the services resource status is to be reviewed on a specific date or to capture a change of circumstances; a blank field means the service will be continually valid.
- Click on Save.
Tip
1 To aid in identification, it is good practice to employ a consistent naming convention for the services resource description.
2 Where only a small number of parameter values are not required, activate the All tick box first and then deselect individual items from the full list, as required; the All tick box will be automatically removed once an item is deselected.
Note
1 Additional search criteria may need to be employed (e.g. address, post code, resource type) in order to ensure that a new services resource record can be created without fear of duplication.
2 System validation rules ensure that the description entered for each new services resource is unique for the effective period.
3 The Effective from date defaults to the current system date and cannot be left blank.
