To manually record an equipment service visit against an asset

The procedure to manually record an equipment service visit against an asset is as follows:

  1. Using the global search facility, type in the first few characters of the asset address 1.
  2. Double-click on the row containing the exact record match. Where the expected record is not listed, a more advanced search can be conducted using the spy-glass icon ().
  3. Click on Asset Details. The Asset Details window is displayed for the current asset.
  4. Click on Equipment 1. The Equipment tab is activated, revealing a list of all catalogued items associated with the asset in the Equipment summary table.
  5. Click on New Completed Visit. The New Visit window is displayed.
  6. Using the Visit type drop-down field, select a parameter value to capture the scope of the service for an item of equipment.
  7. Using the Organisation drop-down field, select the name of the professional association that carried out the service.
  8. Enter the Date due using the calendar icon () or type in the value directly i.e. the scheduled maintenance date for the item of equipment 2.
  9. Enter the Actual date of the service using the calendar icon () or type in the value directly i.e. the date on which the cyclical maintenance was conducted.
  10. Enter the Next date using the calendar icon () or type in the value directly i.e. the future service date in accordance with the agreed cycle frequency.
  11. Using the Outcome drop-down field, select a parameter value to categorise the concluded equipment service.
  12. Use the Comments field to add contextual information in support of the service outcome being achieved.
  13. Click on Save. The completed equipment service entry is displayed in the Visit summary table; click on the expansion level pointer icon () to reveal the row detail.


Tip

1 Use the Left () and Right () scrolling arrows to reveal additional tabs that might be hidden from view.

Note

1 The search facility will return all possible matches for any corresponding address field once the Number of characters before an automatic search commences system preference is reached.

2 The permitted date entry format is DD/MM/YY or DD/MM/YYYY.
