To add asset charges to a rent review cycle

The procedure to add asset charges to a rent review cycle is as follows:

  1. Navigate to Quick Menu > Rents > Configuration > Rent Review. The Rent Review window is displayed.
  2. Expand a rent review status heading from the alphabetical list and select an associated cycle or type the description into the Search Rent Review field. By default the list is filtered to show Open rent review cycles. An alternative filter can be applied using the Select view drop-down field: In Progress, Selection Complete, Applied, Part Applied, Notifications Generated, Cancelled or All 1.
  3. Click on Assets 2. The Assets tab is activated.
  4. Click on Select Asset. The Asset Charge Select window is displayed, revealing a filtered list of asset hierarchies containing rent charges that match the restrictions set for the review cycle: the company, review date period, charging frequency and assigned rent charge elements 3.
  5. Activate the tick box against one or more asset hierarchies to be included within the review cycle - click on the nested expansion level pointer icons () to reveal the underlying hierarchy nodes and concatenated charging identifiers (charge type + frequency).
  6. Click on Add to transfer the chosen subset to the right ('required') pane, or Add All to transfer all displayed records, irrespective of tick box status 4.
  7. Optionally, to restrict further the displayed list of asset charges: (a) Click on Filter By - The Select Asset window is displayed; (b) Click on the Functional units spy-glass icon () - The Functional unit select window is displayed, revealing all functional units accessible to the end user 5; (c) Activate the tick box against one or more functional units to be included within the filter - click on the expansion level pointer icon () to reveal functional unit group membership records; (d) Click on Add to transfer the chosen subset to the right ('required') pane, or Add All to transfer all displayed records, irrespective of tick box status 6; (e) Click on Select - The chosen functional unit subset is summarised in the corresponding field; (f) Using the Asset types, Classifications, Categories and Charge types drop-down fields, multi-select the desired parameter values to be included in the filter, or choose the All option, as required 1; (g) Click on Confirm - The asset charge selection list is refined based on the applied filter 7.
  8. Click on Select. The chosen subset of asset charges is displayed in the Assets summary table 8.


Tip

1 Where only a small number of parameter values are not required, activate the All tick box first and then deselect individual items from the full list, as required; the All tick box will be automatically removed once an item is deselected.

Note

1 The Search Rent Review field will match against any component of the review cycle description.

2 It is only permitted to add additional asset charges to a rent review cycle where the status is set to In Progress or Selection Complete.

3 The returned results can be refined further by entering a component of the rent charge identifier into the dynamic search field provided.

4 In the same way, use the options Remove and Remove All in conjunction with the associated tick box fields to transfer asset charge entries out of the right ('required') pane.

5 The returned results can be refined further by entering a component of the Functional unit name into the dynamic search field provided.

6 In the same way, use the options Remove and Remove All in conjunction with the associated tick box fields to transfer functional unit entries out of the right ('required') pane.

7 Any asset charges previously added to the rent review cycle are automatically excluded as part of the process.

8 To remove asset charges from the rent review cycle, activate the Select tick box against each corresponding entry and click on Remove Asset.
