To append a new ASB case to an existing record

The procedure to append a new ASB case to an existing record is as follows:

  1. Prerequisite procedural steps are covered separately in the topics To start a new ASB case via a contact record, To link a perpetrator to an ASB case and To record the details of an ASB case. Refer to these before proceeding to step 2.
  2. With the Create ASB Case - Existing Cases window displayed, highlight the row in the summary table matching the existing ASB case to be appended; click on Case Summary to verify the details of the intended selection. By default the list is filtered to show All existing cases. An alternative filter can be applied using the corresponding drop-down field: Current or Closed 1.
  3. Click on Select Existing Case. The ASB Case Details window is displayed, revealing the information captured to date against the selected case and also the unique reference number assigned to it.
  4. To manage the ASB case progression most effectively, data is segmented into a series of logical tabs. Certain tabs are worthy of special note and are captured in the table below. Specifically, the Incidents tab reveals the details of the latest reported incident, appended to the existing case record 2.
  5. Click on Close.


Note

1 All existing cases within the same company that are linked to a matching contact record - complainant or perpetrator - are available for selection.

2 In appending the ASB case to an existing record, only the original case remains and no new case reference is created.


Field

Description

Tasks

All individual actions assigned to the case that define the progressive stages, from initial fact finding right through to final completion, are held in this tab. When a case is first launched, all automatic tasks linked to the category definition workflow path will be displayed. Additional tasks may be added to match the specific requirements of the case.

Incidents

All reported reoccurrences of anti-social behaviour can be appended to the case file, including other exacerbating incidents.

Reviews

The current status of all reviews conducted on the ASB case file.

Contacts

All stakeholders, complainants and perpetrators involved in the ASB case file are stored here, with each contact's association to the case denoted by the ASB Contact Type field.

Linked Cases

Presents a holistic view of all related cases that have been formally linked together.

Communications

A list of all letters and emails dispatched during the lifetime of the case.

Notes

The case notes recorded against the ASB case file, transcending all related incidents.

Costs

A list of all costs incurred during the lifetime of the case.

Attachments

Any number of file attachments can be linked to an ASB case in order to provide contextual background to all related incidents. File attachments of type PDF, JPG, GIF, PNG, BMP, HTML, WAV, WMV and MP4 are all stored in this central location.

Legal Action

A chronological list of all steps taken in securing legal enforcement for an agreed action.

User Defined

Any custom fields defined for the components of an ASB case are displayed in this tab, together with the recorded values.
