To define a free period within a calendar cycle

The procedure to define a free period within a calendar cycle is as follows:

  1. Navigate to Quick Menu > Rents > Configuration > Rent Calendar. The Calendar Details window is displayed.
  2. Select a calendar cycle from the alphabetical list or type its name into the Search Calendar field 1.
  3. Click on Years. The Years tab is activated.
  4. Highlight the desired row in the Years summary table. The associated periods for that year are displayed in the Periods summary table.
  5. Double-click on the row containing the specific period to be marked as a free slot. The Manage Periods window is displayed.
  6. Activate the Free period tick box to exclude it from the rents charging schedule i.e. no charges will be raised within a free period 2.
  7. Click on Confirm. The selected period is denoted with the 'Free' attribute in the Periods summary table.
  8. Click on Save 3.


Note

1 The Search Calendar field will match against any element of the calendar cycle name.

2 A Free period may be set to accommodate office closures within a housing organisation e.g. the break between Christmas and New Year, or to smooth out phases of high activity e.g. financial year end.

3 Any period marked as 'free' in error can simply be amended by repeating steps 1 through 8 and de-activating the Free period tick box.
