To start a new ASB case

The procedure to start a new ASB case is as follows:

  1. Click on New Case 1. The Select Case Type window is displayed.
  2. Using the Case type drop-down field, select the specific classification option of ASB.
  3. Click on Next. The Create ASB Case window is displayed.
  4. Using the Company drop-down field, select the company to which the new ASB case relates.
  5. To capture the complainant in the ASB case, enter the first few characters of the contact name or their known address into the Search for complainant field provided 2. All possible matches are returned in the Search Results summary table.
  6. Highlight the row containing the exact record match or, in circumstances where the contact does not wish to be identified, activate the Anonymous tick box provided.
  7. Click on Add. The details of the contact record are displayed in the Complainants summary table.
  8. Optionally, click on New Contact to create a completely new contact record for the complainant, not previously held. This requisite step is covered separately in the topic To create a new contact via an ASB case; once created, the new contact will be displayed in the Search Results summary table ready for selection.
  9. Repeat steps 5 through 8 to identify further complainants within the ASB case.
  10. Click on Next. The Create ASB Case - Select Perpetrators window is displayed, ready to capture the details of the perpetrators involved in the ASB case. This requisite step is covered separately in the topic To link a perpetrator to an ASB case.
  11. Click on Next. The Create ASB Case - Case Details window is displayed, ready to capture the incident details of the ASB case. This requisite step is covered separately in the topic To record the details of an ASB case.
  12. Click on Next. The Create ASB Case - Existing Cases window is displayed, ready to save a new ASB case or cross-reference the incident to other cases, as required. To forge links with existing ASB cases, refer separately to the topics To link a new ASB case to an existing record or To append a new ASB case to an existing record.
  13. Alternatively, click on Create New Case. The Select Case Start Date window is displayed 3.
  14. Enter the Start date value using the calendar icon (), or type in the date directly (format DD/MM/YY or DD/MM/YYYY) i.e. the official commencement of the ASB case file; a time may also be specified using the clock icon ().
  15. Click on Save. The Case Assignment window is displayed, ready to assign ownership for the ASB case 4. This requisite step is covered separately in the topic To allocate an owner to an ASB case.
  16. Click on Save. The ASB Case Details window is displayed, segmented into a series of logical tabs, ready to progress all activities pertinent to the new ASB case. Certain tabs are worthy of special note and are captured in the table below.


Note

1 The New Case option is continually accessible within the user desktop area, irrespective of functionality in current focus.

2 The field will operate as a dynamic search function and match against any element of the contact's name or address based on the successive characters entered.

3 The system preference Allow ASB Cases to be backdated determines the availability of this option.

4 This option is only activated in the instance where no allocation rules have been defined for the selected ASB category.


Field

Description

Summary

As the ASB case file is progressed, a chronological list of all events undertaken during its lifetime are maintained in this central location, including all recorded notes and any dispatched letters or emails.

Tasks

All individual actions assigned to the ASB case that define the progressive stages, from initial fact finding right through to final completion, are held in this tab. When a case is first launched, all automatic tasks linked to the category definition workflow path will be displayed. Additional tasks may be added to match the specific requirements of the case.

Contacts

All stakeholders, complainants and perpetrators involved in the ASB case file are stored here, with each contact's association to the case denoted by the ASB Contact Type field.

Incidents

All reported reoccurrences of anti-social behaviour can be appended to the case file, including other exacerbating incidents.

Reviews

The current status of all reviews conducted on the ASB case file.

Costs

A list of all costs incurred during the lifetime of the case.

Legal Action

A chronological list of all steps taken in securing legal enforcement for an agreed action.

Information

A consolidated list of all response fields mapped to the intrinsic tasks within each ASB case file.

Attachments

Any number of file attachments can be linked to an ASB case in order to provide contextual background to all related incidents. File attachments of type PDF, JPG, GIF, PNG, BMP, HTML, WAV, WMV and MP4 are all stored in this central location.

Lessons Learnt

For each ASB case file, there is the opportunity to record key lessons and outcomes that will inform future case management protocols.

Linked Cases

Presents a holistic view of all related cases that have been formally linked together.

User Defined

Any custom fields defined for the components of an ASB case are displayed in this tab, together with the recorded values.

Functional Units

The name of each functional unit associated with the ASB case.
